Guide

Chatbot or AI assistant, what is the difference?

Guide · Updated 4 November 2026

The words are used interchangeably, but they describe two different kinds of tool. One follows a script. The other understands the question, finds the answer in your material and can do something about it.

01The chatbot

The classic chatbot

A rule-based chatbot follows flows that someone has written in advance. The customer clicks buttons or types a word the bot recognises, and gets a pre-written answer back.

That works well for a handful of predictable questions. The problem comes when the customer phrases things differently from what the person who built the flow had in mind. Then the conversation ends up in a dead end, or in an “I did not understand, please try again”.

02The AI assistant

The AI assistant

An AI assistant is built on a language model that understands what the customer means, even when the question is misspelt, long or asked in another language. It answers from the company's own material, such as price lists, terms and FAQs, instead of from a script.

The big difference comes when the assistant is connected to the company's systems. Then it can look up an order, check stock, book a time or create a ticket. It does not just answer the question, it does something about it.

03Comparison

The difference point by point

Understanding the question

The chatbot recognises words and button choices. The AI assistant understands the question even when it is phrased in an unexpected way.

Where the answers come from

The chatbot has pre-written answers. The AI assistant answers from your material, and when the material changes, so do the answers.

Languages

The chatbot answers in the languages someone has written flows for. The AI assistant answers in the language the customer writes in.

Doing things

The chatbot can usually only answer or link on. A connected AI assistant can look up orders, book times and create tickets.

Maintenance

The chatbot's flows have to be rebuilt when something changes. The AI assistant needs up-to-date material and follow-up of what it answers.

04The risk

The risk with AI, and how it is handled

A language model can phrase an answer that sounds right but is not. This is often called hallucinating, and it is the most important question to ask a provider.

Our assistants are built to say when they do not know and to hand over to a person instead of guessing. They answer from your material, and we read the conversations every month to find answers that need correcting. The assistant also always says that it is an AI.

05When it is enough

When is a simple chatbot enough?

A simple chatbot is enough when

The questions are few and predictable, customers write in one language and nothing needs fetching from a system.

An AI assistant pays off when

The questions are many and phrased in different ways, customers are in several markets, or the answers need details about that particular customer's order or booking.

06FAQ

Common questions about the difference

Is ChatGPT an AI assistant for our website?

Not on its own. ChatGPT knows nothing about your terms, orders or bookings. An AI assistant for a website is built on a language model but is given your material and your systems to work with.

Can an AI assistant give wrong answers?

Yes, which is why it has to be built to say when it does not know, and followed up. How we see it is on the ethics page.

Must customers be told it is an AI?

Yes. Since 2 August 2026 the EU AI Act requires that anyone chatting with an AI is told so. Our assistants always say it.

What does an AI assistant cost compared with a chatbot?

It depends mostly on what it has to do. There is more on that in the guide to costs.
